Tuesday Tip: Internal metadata backups

DEVONthink does not have a system for automatically backing up everything, DEVONthink has a setting in its Preferences > Backup that controls how many internal metadata backups are done. These backups can be used in a troubleshooting situation by selecting Tools > Restore Backup. While it may seem like a good idea to set this to something like 7 copies daily, the metadata of a database can be considerable, so you should be cautious in how you set this. It’s not...

New classes and new assignments in a new school or college year mean that there’s a lot to be organized. DEVONagent Site Search Mode

We’ve not only updated DEVONthink and DEVONnote today but also DEVONagent. DEVONagent Pro 3.9.8 enhances the Search mode for automatically searching sites. If you purchased them in the Mac App Store you’ll receive them as soon as they’ve...

DEVONthink 2.9.15 with rewritten PDF sidebar

New PDF Sidebar

We’ve finally decided to replace the system PDF sidebar with our own code to fix some long-standing issues with macOS El Capitan and later. DEVONthink 2.9.15 brings a completely rewritten PDF sidebar that is not only more reliable than its macOS counterpart but also offers better clipboard, drag-and-drop, and keyboard navigation support. Other enhancements include a new URL command for creating groups, enhanced drag-and-drop for Tinderbox, and improved linking to other materials from Markdown and HTML documents. Groups created, e.g., by importing from Evernote are no...

Tuesday Tip: Two for one windows

Support tickets sometimes present new ideas. And sometimes they rekindle old ones from the back burner. I recently had a ticket from someone who wanted to open a document in two windows at once. Out of the box, DEVONthink will open a document in a new window, but only one. The only other option is to view the document in its own window, as well as in the main database window. That would work but it didn’t seem as elegant...

DEVONthink To Go 2.2 with Spotlight support and more

DEVONthink To Go and Spotlight

DEVONthink To Go 2.2 is now available with Spotlight support. Find your documents from anywhere on your iOS device simply by swiping down from the top of the screen. The update automatically processes all present databases for Spotlight and keeps the index current in the background. All background task such as (re)indexing, purging, or synchronizing show their progress in a nice unified activity display and block the user interface less often. So you’ll always know when something’s going on. Other improvements...

Tuesday Tip: Quick Search in DEVONthink

There are times when you’re in need of searching your DEVONthink databases but don’t want to switch out of your current application or space. In System Preferences > Keyboard > Shortcuts > Services > Text, there is a service named DEVONthink Pro: Lookup… This will be active when you have some recognized text* selected in a document. Selecting the service from the current application’s menu > Services will open a full search window with the search already completed! Adding a...

Tuesday Tip: Hotkey for toggle menus

A recent Twitter post asked a question about turning on and off the WebSharing server in DEVONthink Pro Office. It was assuming a need for an AppleScript or Keyboard Maestro routine. Well, it’s not AppleScriptable (outside of UI scripting, which I don’t advocate) and Keyboard Maestro is more than is needed for this task. Open System Preferences > Keyboard > Shortcuts and select App Shortcuts. Click the Plus (+) button and select DEVONthink Pro Office in the Application dropdown. (If...

Tuesday Tip: Deleting from search results

When using DEVONthink’s search features, the results are handled a bit differently than browsing the database. The results are insulated from accidental deletion by default. So what if you want to delete something from the search results? Here are three options… Right-click the file and choose Move All Instances to Trash from the context menu. With the file selected, hold the Option key and choose Data > Move All Instances to Trash. With the file selected, press Command-Option-Delete. You should see the Location...
