Tuesday Tip: Adjust your PDFs

Recently, we had a customer expressing a desire to have black-and-white PDFs. Our head developer, Christian Grunenberg, suggested running a Quartz filter on them. When you export out of Apple’s Preview, you have the option of applying a Quartz filter to adjust the output. (A Quartz filter is a macOS filter for processing PDFs. You can see and try your hand at them in the Filters section of /Applications/Utilities/ColorSync Utility.) But you can also run Quartz filters on PDFs right inside...

Mailplane 3.6.9 adds support for DEVONthink Pro

Mailplane icon

Mailplane is a probably the best way to use Gmail on a Mac. Version 3.6.9 adds native support for DEVONthink Pro and Pro Office: Open a message in Mailplane and choose Edit > Save to DEVONthink to save the message as webarchive to DEVONthink. The document includes a link back to the original message in Gmail. You can also send downloaded attachments to your DEVONthink inbox. Click the app icon to have a look at Mailplane and check their release...

Tuesday Tip: Batch print email messages to PDF

DEVONthink Pro Office stores email messages in their original formats. If you want to keep your messages in an easier to handle file format one option is to ‘print’ them to PDF and keep the PDF instead. Converting hundreds or even thousands of messages manually is a painful process, however. But, as long as Apple hasn’t killed Mac automation, there’s a solution for this: First enable the alternate email view (see Preferences > Email) or convert the messages to rich...

Stuart Ingram on Mac Power Users (and more)

Mac Power Users Podcast

David Sparks and Katie Floyd invited Stuart Ingram to their popular Mac Power Users podcast and discuss his approach to DEVONthink. You know Stuart from his excellent series A User’s Journey into DEVONthink here in this blog. Stuart adresses David’s concerns about ‘everything buckets’ and lays out how he uses DEVONthink Pro Office and why. It’s just 80 minutes and you won’t want to miss it. Click here to listen to Mac Power Users episode 356 yourself. In addition here...

Tuesday Tip: A fresh new Global Inbox

The Global Inbox is a built-in database, provided so you can start working (or playing!) in DEVONthink the moment you launch it. For DEVONthink Pro and Pro Office, it is ideally used as a temporary storage location — a place for transient or unfiled data. It’s a great place to capture miscellanous data when you’re rabbit-trailing around the web too. But, with all such “temporary locations”, the temporary state becomes “permanent” as we forget to go through and file the...

Tuesday Tip: Use text expansion

If you find yourself typing the same things over and over again, there is a way to give your fingers a break. Text expansion is a method of assigning abbreviations for things like often used phrases. For example, you may create an abbreviation like em1, which could fill in your email when typed. Or you may have boilerplate text for a business, like thank yous. You could use the abbreviation tfyo that could expand to “Thanks for your order!” There are some...

Tuesday Tip: A simple move

We had a support ticket with a person who had a simple request: “I have a selection in a Smart Group. How do I move it to a database?” I responded but as I did, I realized (yet again) how much flexibility we have built into DEVONthink. Here are a few ways to accomplish this: Open the receiving group in a new window by double-clicking on it and arranging the windows. Note: In Preferences > General you’ll need to check...

DEVONthink To Go 2.0.7: 3D Touch, page links, bug fixes

DEVONthink To Go 2.0.7 has passed Apple’s review just in time for the Christmas break. The new version adds support for 3D Touch and page links for PDFs. Version 2.0.7 also presents the results of an in-PDF search nicer and handles global searches for words containing non-alphanumeric characters better. Audio continues to play when you switch to another app. Finally, the app icon badge now shows only the number of unread items in the global inbox. The update fixes a...

Tuesday Tip: Search to organize

When you organize your databases and often find yourself navigating through deep group hierarchies to file a new document, this tip from our forum power user korm is for you: Consider using the search to locate the destination across all databases where you want to move documents to (or from). Arrange your database and the search window side by side. In the search window, search for anything. If the search result is a group, then you can drag any item from the database window...
