Tuesday Tip: Labels with keyboard shortcuts

This Tuesday Tip comes from a question on our Facebook page: “Hi Guys, is it possible to assign an keyboard shortcut to a label? For example: If I press ⌘1 the first label is assigned to the current list entry?” (Thanks, Christoph Jeschke!). Yes it is! Here’s the step-by-step… Open System Preferences > Keyboard > Keyboard Shortcuts and select Application Shortcuts in the lefthand sidebar. Press the + (Plus) button and choose DEVONthink. Enter the exact menu name of the label, e.g., To...

Tuesday tip: Create custom forms with Google Drive

If you have a Google account and access to Google Drive, create a form there. (I’ll leave the how-to on that to your own research. It’s not difficult.) “Share” the form so that you get the link to the form, and create a bookmark in DEVONthink for that form. When forms are created in Google Drive, you have the option to create a spreadsheet there to collect the responses. Do so, then navigate to that spreadsheet and grab the link for...

Tuesday tip: Build group hierarchies with templates

One of the most common ways we organize our data is with folders and subfolders (groups and subgroups in DEVONthink). Maybe you are someone that tracks your receipts on a monthly basis. Perhaps you are a teacher that organizes student data in a series of subfolders. Or you may be a real estate agent that creates a folder for each new property you’re working with and you like to have subfolder for pictures, documents, etc. If you ever find yourself...

Tuesday Tip: Add to TaskPaper

Do you use Hog Bay Software’s TaskPaper? Our user Julio Carlos Sanchez Ortega has modifier our “Add ToDo to The Hit List” scripts for use with TaskPaper. Download his cool script here. Thank you, Julio!

Tuesday Tip: Changing the Creation Date

By default DEVONthink does not allow you to change the creation or modification date of a document. This is intentional as most government agencies and larger companies require that you cannot change the date of a scanned document. If you do not have these requirements and you want to adjust the creation and modification date of documents here is a little script for you. To install it, unzip the archive and move the .scpt file to ~/Library/Application Support/DEVONthink Pro 2/Scripts....

Tuesday Tip: Use Fluid with DEVONthink

Do you use Safari or Firefox to access your DEVONthink Pro Office databases through the built-in web server? Would you like to get a more ‘native application’ feeling? Fluid is a Mac application that creates site-specific browsers, basically special web browsers that are hard-wired to an entered address. For example the address of your shared DEVONthink Pro Office. Open this mini application and it will show a single, simple window for DEVONthink’s web interface that looks nearly like a true...

Tuesday Tip: Automate DEVONagent

All our applications are highly scriptable and so enable you to automate recurring tasks. Power user Martin Michel posted a nice example on how to use DEVONagent for quickly downloading all PDFs linked to from a web page. His example shows how you can get the URL of the frontmost Safari window, open it in DEVONagent, grab all links to PDFs, and download the files. Martin also grabs all RSS articles from a feed, searches them for keywords, and opens...

Tuesday Tip: Use Icons

You may know that you can paste icons onto documents and groups in DEVONthink to easier distinguish them: copy any picture, then open the Info panel for the document or group (Tools > Show Info), select the icon, and paste your picture. What you may not know is that you can do the same with DEVONthink databases in nearly the same fashion. Copy the icon you would like to use to the clipboard, then select the database package in the...

Tuesday Tip: Learn to Speak AppleScript

DEVONthink and DEVONagent are highly scriptable. Using AppleScript you can integrate them tightly into your workflow, automate tasks, or extend our applications with new functionality. AppleScript as a scripting language is not only powerful but also relatively easy to learn. Our power user Veritrope has published a series of excellent Learn to speak AppleScript on his blog. Check them out! You will also find a full chapter with more information about how to let our applications jump through loops for...

Tuesday Tip: Secure your DEVONthink Data

We’re back from our Christmas holidays, have worked through the pile of email and are now back in the code mine, all engines full steam ahead! And if you are, and you should be, interested in security, here’s a tip for you: DEVONthink Pro databases are, for various reasons, unencrypted, e.g. to let Spotlight access the files for indexing. To encrypt a database with industry-strength encryption create an encrypted disk image using Disk Utility and put your DEVONthink Pro database...
