Tuesday Tip: What’s your Favorite?

As you work in DEVONthink, you’ll come to find yourself going to the same places over and over again. It may be opening a certain database, working in a certain project, or other daily uses. These are perfect items to add to your Sidebar Favorites.

  1. FavoritesAn often used database (or one you just want quick access to). Here you can see an Accounts database that I don’t use all the time so it doesn’t show up in my Recent Databases. The Favorites makes it quickly accessible when I need it. Note that it is grayed out because it’s stored in an unavailable location.
  2. The next four items are groups in three separate databases. These are groups that I am often in (and in the case of “Dailies” and “Support Hub”, I am in them all the time). This provides quick access to these groups no matter where I am in another database. The “BLUEFROG – Links” group shows that I have some RSS feeds with unread entries, so I can see at a glance that I have something to read. A nice perk of these Favorites is double-clicking them will open the database if it’s not open, unless the database is in an unavailable location.

Note: You can’t add a database’s Smart Group or individual documents to the Favorites, but… Smart Groups will go to the Global Smart Group section, and documents can be dropped to these Favorite Groups just like a Sorter location.

What on earth is wrong with DEVON technologies Website?
Your pages are not loading; I cannot check on Upgrade or even see what version of DEVONthinkPro Office is now current.

@ Barbara: We had a database failure while during the (European) night. All is up again. Sorry for the inconveniences.

  3. I’ve been wanting a feature like this for a long time, didn’t realize DT already had it! But I don’t see how to do it – how do you add a page or group to Favorites?

You can’t add documents, only groups and databases. You can add them by drag and drop or by right-clicking and choosing “Add to Favorites”.

This is a great feature. I didn’t know the sidebar would accept groups. Wish we could reorder items in the side bar manually, for work on big projects.

  6. Can’t add documents? Well that’s very disappointing. I constantly am navigating back to certain documents, mostly .RTF pages where I append information. There are a modest number of them, but they’re spread all over in different groups, etc.

I can’t understand why that would be a problem adding documents to Favorites – isn’t just a simple link? I would really like to see that feature added!!

Why would you want to favorite a database, btw?? Do some DT users have so many of them that would help?

Smaller, more focused databases generally perform better, so many times a User will have multiple databases. (On this machine I have 15.) My Accounts database is not often used so it doesn’t show up in my Recents. Having it in my Favorites gives me quick access when I need it. (Also, when it’s grayed out, I know the volume it resides on isn’t mounted.)

I can’t say why documents aren’t supported in Favorites, but you can create a Group in a database with a Replicant of common files and create a Favorite of that Group. Then as you add and remove Replicants from this group, the Favorite updates too. (I personally like this idea better than adding documents. In fact, this is how my Dailies Group functions (though with originals, not Replicants).
